Operations Director

Renewable 36-month, non-benefits eligible, independent-contract position

LENGTH: Non-benefits-eligible, 36-month independent contract position, renewable at the discretion of the GSA Board. The expected start date for the position is 30 May 2022.

HOURS: 500 hours, with a notable increase in hours in relation to the GSA’s annual conference. A rough estimate is that 35% (i.e., 140 hours) would be used during the two months prior and during the month of the conference (i.e., typically August and September, or September and October).

COMPENSATION: Total yearly compensation is $20,000. Compensation is paid at $40 per hour over 12 monthly installments of $1,666.67.

TRAVEL: The position requires in-person presence at the annual GSA conference, which typically takes place in September or October. The cost of travel/flight, hotel, and a per diem are covered as determined by the GSA Treasurer and as part of the position.

The German Studies Association (GSA) is the multi- and interdisciplinary association of scholars in German, Austrian, and Swiss history, literature, culture studies, political science, and economics. GSA holds an annual conference and publishes a scholarly journal, the German Studies Review. Members are generally professors and advanced students at universities and colleges in North America, although there are several hundred members in Europe and Asia. Membership is open to anyone. The GSA is a member of the American Council of Learned Societies (ACLS). The GSA’s main activity is the annual conference, where over 1,300 academics come together to share their research and collaborate on new and exciting projects.

The GSA seeks applications for a three-year, part-time Operations Director (OD) with the potential for increased hours, possibly including full-time employment. The OD is primarily responsible for making sure that the conference happens. The OD supports our members as they submit through our web-based conference system, Open Water. They assist our volunteer Program Committee with evaluating conference submissions and the Program Director with creating the conference schedule. Working with the conference hotel, the OD coordinates exhibits, events, and receptions. At the conference itself, the OD manages the registration desk and works with hotel staff to make our attendees’ experience smooth and enjoyable.

Other responsibilities include (but are not limited to)

  • Working directly with Johns Hopkins University Press on various GSA activities
  • Working directly with Open Water on maintenance on the GSA conference program and its components
  • Liaising with GSA members and vendors
  • Editing and assembling the biannual newsletter
  • Collaborating with the GSA Treasurer on budget and vendor payment issues

The successful candidate will be able to work independently and manage their own time.

Responsiveness and some flexibility in scheduling is required: particularly work-intensive times of the year include late January through the end of March, mid-May through early June, and the weeks leading up to the conference, which takes place around mid-September to early October depending on the year.

Attention to detail is critical. Courteous and efficient customer service is integral to our work as

an organization. The position requires travel at least three times a year: one day to visit the conference hotel, one day to visit Johns Hopkins University Press, and one week in late September/early October to run the conference.

Requirements:

  • Proficiency using Zoom/webinar technology
  • Proficiency in Microsoft Word and Excel
  • Proficiency in proofreading/editing and composition (English)

Preferred

  • English/German bilingualism
  • Previous conference organizing experience
  • Experience with OpenWater or other conference-vendor software / applications
  • Post-graduate degree

Tech Skills Preferred

  • HTML
  • Adobe
  • G Suite
  • Canva
  • Drupal
  • QuickBooks

This is a part-time position, approximately 500 hours a year, $40/hour. Appointment is for a

three year term, renewable at the discretion of the GSA Executive Board. Travel expenses are

covered by the GSA, and a free GSA membership is included.

Assuming a 10-hour “typical” week, the OD can expect to spend 2-3 hours on email, 1-2 hours on website maintenance and updates, 1-2 hours on general miscellaneous tasks (including newsletters), and the remainder on conference coordination. In reality, no week is typical, so this proportion should be understood as for reference only.

Application Process:

By 11:59 p.m. (Pacific) on Sunday, 15 May 2022, to the following email address: jobs@thegsa.org

(Please indicate in the subject heading the job desired.)

Application materials should include the following attachments as a SINGLE PDF:

  • Cover letter of no more than 500 words
  • Curriculum vitae / resume of no more than 5 pages, 12-point font
  • One professional writing sample of no more than 5 pages, 12-point font
